The Opportunity  County Manager Department | Permanent Full-Time Position | Monday – Friday| 8:30am – 4:30pm

Lacombe County is currently recruiting for an experienced and detail-oriented Records Management /FOIP Coordinator to take the lead in developing, implementing and overseeing the County’s Records & Information Management program. Additionally, the role also serves as the County’s FOIP Coordinator, ensuring compliance with the Freedom of Information and Protection of Privacy (FOIP) Act.
This pivotal role fosters a culture of transparency, accountability and efficiency across the organization. Your success in this role will be driven by your ability to collaborate effectively with all departments – providing guidance, building strong working relationships and ensuring consistent records management practices.

Key Responsibilities

Records & Information Management (RIM)

• Develop, implement and oversee a comprehensive Records & Information Management program.
• Lead records management initiatives across all departments, offering training and support.
• Establish the policies, standards, guidelines and retention schedule in alignment with municipal polices.
• Oversee both physical and electronic records, including indexing, classification and secure disposal.
• Manage vendor relationships for off-site records storage and shredding services.
• Administer the County’s digital records system, including converting paper records to digital formats.
• Coordinate special projects related to data integrity, imaging, and record storage maintenance.
• Draft policies, procedures and best practices related to records and information management.
• Assist with the standardization of County forms and templates.

Freedom of Information & Protection of Privacy Act (FOIP)

• Act as the County’s FOIP Coordinator providing training and expert guidance on compliance.
• Process FOIP access requests and maintain accurate records documentation.
• Liaise with provincial FOIP authorities as needed.

Requirements

Technical

• In-depth understanding of records management standards and procedures.
• Good understanding of policy creation, governance documentation and the development of retention schedules, metadata models and classification codes.
• Strong Microsoft Office Suite skills, particularly Office 365, SharePoint, and records management software.
• Strong verbal and written communication skills to effectively collaborate with staff and the public.
• Capable of creating and delivering presentations and training sessions to ensure staff comprehension of records management policies and systems.
• Ability to stay informed about evolving trends in records management, I.T. systems and privacy laws to ensure the County’s processes are current and compliant.

Education & Certification

• Diploma in Information and Records Management, Archival Studies or Library Science or related field.
• 3 + years experience working in records management, preferably within a municipal government environment.
• FOIP certification and/or training recognized by the Association of Records Management Administrators.
