Using Meeting Management Software, assembles and distributes Council agendas, arrange meeting facilities, schedule public presentations, record and transcribe Council minutes, prepare general correspondence, take follow up action as required and maintain a record of outstanding items.
Responsible for technical requirements associated with the Meeting Management Software, including with training and trouble shooting.
Assist in drafting and updating municipal policies and procedures and bylaws.
Responsible for maintaining the indexes for both policies and bylaws.
Act as Clerk of the Assessment Review Board and Subdivision and Development Appeal Board: schedule hearings; mail notices; collect the appropriate fees; organize board members to attend hearings; prepare agenda packages; attend hearings and draft and distribute decisions.
Assist in Council’s Boards and Committee recruitment and appointment process.
Type legislative correspondence, reports and other related material as required.
Respond to public inquiries both in person and on the phone relating to general legislative matters when required.
Assist with administration of elections, by elections, plebiscites and census.
Excellent organizational and time management skills in order to work successfully under the pressure of changing priorities, time limitations and other constraints. The ability to maintain confidentiality regarding matters which affect the municipality, strong writing skills and a high degree of accuracy in word processing, as well as strong interpersonal skills and the ability to work independently and in a team environment with limited supervision.
Certificate or diploma in Office Administration, Legal Assistant or equivalent, with formal training or demonstrated experience in the art of minute taking
3-5 years of municipal government experience or 3-5 years of senior secretarial/administrative experience
Proficiency in all Microsoft Office programs
Experience working with Councils, Boards and Committees is preferred
Working knowledge of parliamentary procedures
Courses in Local Government Administration and membership in Alberta Municipal Clerks’ Association would be an asset
