Summary

This role will provide general project assistance to the Program Lead, Broadband. This includes coordination of construction documents, liaising with homeowners, and ensuring smooth communication between departments and Council. The ideal candidate will have a background in telecommunications, along with experience in project coordination and administrative tasks.

This is a temporary position until March 2027.

Key Responsibilities

Administrative Support – Communications (50%)

  • Requesting, obtaining and documenting access agreements from homeowners for construction work, and following up on outstanding access agreements.
  • Preparing and sending mailouts to homeowners providing construction updates, including project timelines, expected disruptions, and general information.
  • Working closely with the Communications team to provide them with the necessary information to prepare construction updates to local councils, ensuring information is accurate and timely.
  • Reviewing incoming correspondence, forwarding matters to the attention to the appropriate individual and following up, as necessary.

Administrative Support- Scheduling & Coordination (20%) 

  • Maintaining a tracking system to ensure project timelines and objectives are met
  • Drafting and organizing correspondence, reports, agendas, and supporting documents, and schedules meetings as needed.
  • Reviewing and understanding design drawings, ensuring all construction documents are accurate and up-to-date.

Other Related Duties (20%)

  • Reviewing invoices related to construction projects, ensuring accuracy and compliance with budgets. Submit approved invoices for timely payment.
  • Attending project meetings and taking detailed minutes, ensuring that all action items and key decisions are captured.
  • Providing general administrative support for project teams, assist with documentation, and ensure proper filing and organization of project materials.
  • Performing the duties of an Information Management Contact for the department.
  • Other related duties, responsibilities and projects as assigned by Program Lead, Broadband.
  • Adhering to applicable responsibilities and accountabilities as outlined in the Sturgeon County Health and Safety Management System.

Requirements

  • Training or certificate in Office Assistant or equivalent combinations of training and experience.
  • Strong external-facing customer service experience, particularly in working with property owners or key external stakeholders.
  • Ability to apply a forward-thinking approach while working to ensure that processes are efficient and operating as intended.
  • Ability to take initiative, be independent, resourceful, work under pressure and meet deadlines.
  • Ability to work in a team environment or independently.
  • Proven ability to effectively communicate in writing or verbally, in a clear, objective, logical and sensible manner.
  • Well-developed customer service skills.
  • Ability to maintain confidentiality when dealing with sensitive situations and/or information.
  • Proficiency when using all Microsoft Office Programs (Excel, Word, and PowerPoint, etc.), Adobe Pro.
  • Minimum 2 years of relevant experience in a similar role or equivalent within a professional office setting if no formal training or certification in an equivalent Office Assistant program. Preference given to those with more experience.
  • Drafting experience is an asset.
  • Telecom experience would be beneficial for this role.
  • Telecom experience, especially in broadband construction or similar infrastructure projects.
