Summary

Athabasca County is seeking a highly organized and professional Administrative Assistant to support the Director of Community & Protective Services.

Reporting to the Director of Community and Protective Services, the Administrative Assistant is responsible for providing direct administrative and clerical support to the Director, including researching and compiling background information, maintaining office administration and records management processes and procedures, and responding to and/or redirecting inquiries as required. This vital role offers the opportunity to contribute to a diverse range of County services by providing high-level administrative and clerical support.

The ideal candidate will possess post-secondary education in Office Administration, or a related field, and a minimum of 5-7 years of related experience, with at least 2 years of experience providing administrative support to senior and/or executive management, preferably in a municipal setting.

Key Responsibilities

  • Maintain thorough knowledge and understanding of Administration processes and the Department’s functions.
  • Provide administrative support to the Director, including composing and processing correspondence, agendas, and minutes.
  • Assist in the development of reports, including the research and gathering of relevant information.
  • Coordinate information and background material to assist in dealing with correspondence, or inquiries, requiring attention and for use at meetings.
  • Assist with the review, revising, development and implementation of new and existing County policies in coordination with the Director and other departmental representatives.
  • Act as administrative liaison to the Director within and outside the Department.
  • Liaise with internal departments and external government agencies to assist with remedying public concerns as they pertain to the Community & Protective Services department.
  • Assist with the administration of various programs which involve providing prompt public services, answering telephone inquiries, and booking appointments.
  • Be knowledgeable with online resources including Athabasca County WebMap, SPIN, iCompass, Munisight, and eSight.
  • Understanding of the County Financial System, coding, and issuance of receipts as required.
  • Provide administrative support and back-up coverage for Planning & Development and Protective Services sub-departments.
  • Provide administrative support to Economic Development as required.
  • Understand and adhere to legislative requirements and the County’s policies and procedures relating to records retention; ensure all information is properly marked, organized, confidentially secured, and maintained accordingly.
  • Assists in achieving corporate excellence through information provision, problem solving, and teamwork.
  • Other duties as assigned.

Requirements

  • Post secondary certificate or diploma in Office Administration or related field.
  • 5-7 years of related experience, with at least 2 years of experience providing administrative support to senior and/or executive management, preferably in a municipal setting.
  • An equivalent combination of education and experience may be considered.
  • Proficient in standard computer programs and software including Microsoft Office suite and Adobe.
  • Strong organizational, time management, interpersonal, and communications skills
  • Demonstrated ability to manage multiple priorities and meet deadlines while dealing with sensitive and confidential information with a high degree of professionalism
  • Exceptional internal/external customer service skills
