Administrative Assistant – Protective Services

Summary

Athabasca County is currently accepting applications for a permanent, full-time Administrative Assistant to join our Protective Services team. Reporting to the Manager of Protective Services the Administrative Assistant position will utilize a full spectrum of administrative skills to provide efficient and effective administrative support to the Protective Services department. Working as part of a team dedicated to process improvement and long-term success for the County, this role requires a customer service focussed professional with attention to detail, discretion and the ability to balance multiple priorities.

The salary range for this position is $59,905.69 – $74,928.75 annually. Athabasca County also offers an excellent benefit package with contributions to the Local Authorities Pension Plan.

Key Responsibilities

  • Acts as a first point of contact for Protective Services providing front line operational and administrative assistance via phone, email, or in person.
  • Follow-up and respond in a timely and accurate manner to community and staff regarding department matters relating to Protective Services while creating a corresponding document for file for further escalation and tracking as required. Referring inquiries of a more complex nature to appropriate personnel.
  • Provide administrative support to the Manager of Protective Services including, but not limited to; invoicing for services, receiving, recording, and preparing correspondence and reports; organizing, creating and maintaining records and files, and databases.
  • Provide administrative support for Enforcement Services including, but not limited to; answering and directing calls, receiving, recording and preparing correspondence and reports; organizing, creating and maintaining records, files and databases; organizing, creating, processing, compiling and tracking of court requirements, enforcement revenue, orders, citations, and warnings.
  • Coordinate the administration Enforcement Agreements including the tracking of service hours, inter-municipal invoicing, record keeping, and requests for service.
  • Provide administrative support for Fire Services including, but not limited to; answering and directing calls, receiving, recording and preparing correspondence and reports; organizing, creating and maintaining records, files and databases; organizing, creating, processing, compiling and tracking of Fire Service reports and records (response, personnel, inventories, permits, etc.).
  • Draft, compose, edit, and format; correspondence, reports, letters, request for proposals, requests for decisions, agreements, procedures, policies, and bylaws as directed.
  • Liaise with internal departments and external government agencies to assist with remedying public concerns as the pertain to Protective Services.
  • Support the onboarding and offboarding of Protective Services team members through the collation of documentation and by managing user accounts for various internal and external programs.
  • Provide support to and assist with Protective Services special projects, as required.
  • Understand and adhere to legislative requirements and the County’s policies and procedures relating to records retention; ensure all information is properly marked, organized, confidentially secured and maintained accordingly. Maintain confidentiality of sensitive and privileged information.
  • Other duties as assigned.

Requirements

  • Post secondary education in Office Administration or related field.
  • A minimum of two (2) years of related experience, preferably in a municipal government or public sector environment.
  • Proficient in standard computer programs and software including Microsoft Office (Excel, Word, Outlook) and Adobe Pro.
  • Exceptional customer service, interpersonal, verbal, and written communication skills.
  • Strong technological ability including the ability to work in a variety of specialized records management programs and databases.
  • Demonstrated ability to manage multiple priorities and meet deadlines, while dealing with sensitive and confidential information with a high degree of diplomacy and professionalism.
  • Effective time management and strong organizational skills.
  • Excellent analytical ability including a high degree of attention to detail.
  • Clear Criminal Records Check (including vulnerable sector check).
  • Commissioner of Oaths appointment.
  • Equivalent combinations of education and experience may be considered.
