Join Our Team – Senior Executive Coordinator

Lac La Biche County is seeking a highly organized, professional, and politically astute individual to join our team as Senior Executive Coordinator. Reporting directly to the Chief Administrative Officer (CAO), this pivotal role provides confidential executive coordination and administrative support to ensure the effective operation of the CAO’s Office and the advancement of Council and corporate priorities.

About the Role

As the Senior Executive Coordinator, you will serve as a central point of coordination between the CAO’s Office, senior administration, Legislative Services, Council, government partners, Indigenous communities, regional stakeholders, and the public. You will play a key role in managing executive priorities, supporting governance processes, coordinating strategic initiatives, and ensuring timely follow-through on organizational commitments.

  • Provide confidential executive support to the CAO, including calendar management, meeting coordination, travel arrangements, and correspondence.
  • Coordinate information flow, action items, and follow-up between the CAO, senior leadership, departments, and external stakeholders.
  • Prepare and edit executive correspondence, briefing materials, presentations, reports, and meeting documentation.
  • Support Council-related activities, including meeting preparation, issue tracking, and legislative follow-up.
  • Collaborate closely with Legislative Services and provide backup support for Council meeting processes as required.
  • Assist with government relations activities involving municipal, provincial, federal, Indigenous, and regional partners.
  • Coordinate access to information and privacy-related activities in accordance with legislation and County policies.
  • Conduct research, prepare summaries, improve administrative processes, and maintain highly confidential records and information.

Requirements

Qualifications

The ideal candidate will possess:

  • A diploma or degree in Public Administration, Business Administration, Political Science, Communications, Legal Studies, Office Administration, Information Management, or a related field. Equivalent combinations of education and experience may be considered.
  • A minimum of five (5) years of progressively responsible executive administrative, governance, legislative services, records management, or senior administrative experience, preferably within a municipal or public sector environment.
  • Exceptional organizational, communication, and relationship-building skills.
  • Strong political acuity, discretion, professionalism, and the ability to manage sensitive and confidential information.
  • Knowledge of municipal governance, legislative processes, records management practices, and applicable legislation.
  • Advanced proficiency with Microsoft Office and other relevant business systems.
  • Completion of Level I of the National Advanced Certificate in Local Authority Administration (NACLAA) program is considered an asset.
  • Class 5 Driver’s License

Position details:

Location: Lac La Biche County, Alberta (100% on-site/No hybrid work option)
Status:  Permanent Full-Time
Hours of Work: 35 hour work week, Monday to Friday, 8:30 a.m. to 4:30 p.m. Occasional evening and after-hours work may be required to support Council meetings, special events, and emergency situations.
