Planning and Development Administrative Assistant

The County of Newell is seeking an enthusiastic and highly motivated individual to join our team in the position of Planning & Development Administrative Assistant. Reporting to the Supervisor of Planning and Development, this exciting opportunity provides front line service delivery to residents and stakeholders and administrative support to the department. Through a customer service-focused approach, the administrative assistant is a key contributor to the achievement of the department’s goals.

Key Responsibilities Include:

Duties and Responsibilities:

Answers phones and provides assistance to customers at the front counter.

Prepares and distributes agenda packages for the Municipal Planning Commission meetings and IMDP meetings, including all organizing. Acts as Recording Secretary for MPC, IMDP and other meetings as required.

Maintains department’s general document files, including hard-copy and electronic filing systems.

Assists other administrative staff during vacation periods, leaves of absence, and peak work periods.

Prepares and distributes routine correspondence resulting from minutes of meetings of general County business activities.

Provides assistance to the public in completing applications.

Documents technical processes and standardized operating procedures.

Performs other related duties as assigned.

Requirements:

Preferred qualifications include:

High School Diploma or equivalent, supplemented with post-secondary education in an Office Administration Assistant program or related field, is preferred.

Must be a team player with excellent oral, written and interpersonal communication skills.

Must be committed to continuous improvement and excellent customer service.

Experience with Microsoft Office 365 (Outlook, Excel, PowerPoint, and Word).

Experience in Laserfiche, Visio and GIS would be considered an asset.

Integrity and strong attention to detail are crucial for this role.

Must be bondable.
