Summary

The Pointe Agricultural Event Centre is seeking a dynamic and community-focused Programs and Events Supervisor to lead the planning, coordination, and successful delivery of a wide range of events and programs. In this role, you will oversee all customer service staff, plan event logistics, manage facility bookings, and cultivate strong relationships with community partners to ensure the centre remains a vibrant and highly utilized destination.

As a key member of the Leadership Team, you’ll be responsible for major event bookings and contracts, identifying opportunities for new programming, and aligning offerings with community needs. Your ability to anticipate challenges, deliver exceptional customer service, and maintain a high level of attention to detail will be critical to your success.

Key Responsibilities

Key Responsibilities:

  • Partner with the Operations Supervisor to develop event plans, set up logistics, and detailed task lists supporting all phases of major events, including pre-event preparation, day-of delivery, and post-event wrap-up and debriefing
  • Develop and manage event rental agreements, ensuring accuracy in logistics, space allocation, fee structures, and required setups while maintaining up-to-date contract documentation. Ensuring consistent application of booking guidelines set out by Leadership Team
  • Collaborate with user groups to create comprehensive event plans, clearly define expectations, and ensure compliance with facility policies, safety requirements, and booking guidelines
  • Deliver high-quality, customer-focused service across all bookings, events, and drop-in use, aligning with industry best practices, municipal policies, and regulatory standards
  • Coordinate and communicate key event information to all stakeholders using tools such as event schedules, signage, and facility information systems to support a seamless guest experience
  • Lead and supervise Facility Bookings Representative, a team of Customer Service Representatives, and event staff, including scheduling, day-to-day oversight, and performance support for both full-time and hourly team members
  • Train customer service staff and ensure compliance related to cash handling, deposits, bookings, pass sales, and point of sale transactions
  • Perform and oversee daily balancing, ensuring bookings are paid, invoices are issued and reconciled, and financial records remain accurate and up to date
  • Identify and implement innovative site initiatives to attract new and diverse user groups, proactively matching community needs with available facility spaces to maximize utilization

Requirements

Qualifications and Skills:

  • Knowledge and experience with agricultural events and non-agriculture event planning
  • Develop/guide large-scale event plans and address guest concerns/requests, including managing risk through contracts and licenses, as well as expectations of public, political, and operations groups
  • Ability to perform well under pressure, exercise sound judgment, manage multiple priorities and demands, and motivate others to achieve results
  • Strong leadership, interpersonal, and communication skills to identify client needs, provide recommendations, and instill confidence in staff and clients
  • Excellent analytical and problem-solving skills to identify potential risks or difficulties in technical plans to determine appropriate solutions
  • Experience with contract management and license agreements.
  • Post-secondary specialized training/certificate in Agriculture, Business, Recreation, or in a related field with a minimum of 5 years of related experience
  • Minimum 3 years of supervisory experience in comparable scope/scale.

 

Conditions of Employment:

  • Submission of a Satisfactory Criminal Record Check
  • Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits
  • Ability to perform physical labour as part of the job duties and stand/walk for extended periods of time
  • Requires the ability to work evenings, weekends, and statutory holidays as required
