The Office Assistant II is responsible for providing excellent customer service to members of the public and internal and external stakeholders. This position provides general administrative services to ensure efficient operations.

Key Responsibilities Include:
Provide excellent front-line customer service.
Provide pertinent and accurate information to members of the public, internal and external stakeholders.
Provide administrative support to the Municipal Services Division
Assist in preparing, processing, and maintaining accurate financial records, including accounts payable, accounts receivable, invoices issued and received, etc.
Prepare, organize, index, and maintain, as required, a variety of correspondence, records, files, and documents.
Administer the City’s cemetery programs.
Update and maintain procedures and manuals
Maintain the records management system and ensure proper storage, retrieval, and disposal of records.
Schedule and/or coordinate meetings.
Maintain continuous awareness of the City operations, administrative policies, and procedures.
Monitor administrative processes of the office to ensure adherence to relevant City policies and efficient operations.
Complete other administrative and office management duties as required.
Liaises with staff and contractors to ensure smooth operations.
Education and Work Experience
A Certificate or Diploma in Office Administration preferred, or a combination of Grade 12 with relevant work experience.
Minimum of 2 years experience in an administrative role, preferably in a municipality.
Knowledge Skills and Abilities
Ability to deliver a high level of customer service and deal effectively and courteously with the public, staff, contractors, and other external contacts and agencies in processing inquiries and complaints; provide a variety of information and related services in a professional manner.
Experienced in office administration, basic bookkeeping, writing, and editing correspondence and document.
Excellent verbal and written communication skills.
Strong working knowledge of MS Office.
Knowledge and experience with municipal by-laws, policies and processes.
Adaptability and enthusiasm to take on new challenges are paramount.
Able to work independently and as part of the team.
Numeracy skills and attention to detail.
