The Red Deer County has a permanent, part-time position for a dynamic and highly motivated Part-Time Information Specialist to supplement our ongoing focus in the delivery of customer service excellence.
Key Responsibilities Include:
Reporting to the Accounting Technician – Utilities & Tax, the Information Specialist is the County’s front-line ambassador, facilitating inquiries and providing service by phone as well as in person. The Information Specialists are the organizations’ first point of contact and support, and in turn, are supported by staff in every department to provide residents and visitors excellent customer service
Additional duties of the Information Specialist position include, but are not limited to:
Greet County residents and visitors at the front counter with a concentrated emphasis on providing customer service excellence.
Answer incoming calls on the main telephone switchboard to facilitate call-transfers to departmental staff and monitor calls for pick-up or returned to the switchboard.
Refer inquiries to the appropriate personnel or provide contact details and information for follow-up when staff are not available.
Receive payments, process transactions, and provide necessary receipts and/or documentation.
Maintain the County’s post-dated cheque system and ensure cheques are processed following proper procedures.
Summarize cash receipts and submit them to the appropriate accounting personnel.
Facilitate in-coming tax payments and process tax certificates as requested.
Greet guests arriving for scheduled meetings and appointments, notifying the appropriate staff upon their arrival.
Facilitate pick-up and drop-off of County-related courier and postal deliveries. Stamp all received postage and deliveries, and route appropriately.
Handle mail-outs for the Finance Department, including utility invoices, accounts receivable invoices, as well as annual tax notices.
Order all stationary supplies for the organization, as required.
Greet incoming third-party contractors; facilitate sign-in/sign-out safety requirements, ensuring they receive and wear the proper identification.
Provide clerical, administrative, and project support to other areas within organization, as approved by the Accounting Technician – Utilities & Tax.
Assist with the County’s emergency procedures (building evacuation, etc.) as directed.
Provide vacation coverage and regularly scheduled EDO coverage, as required at the front counter.
Understand and adhere to the policies, principles and practices of OH&S legislation, and the County’s requirements, as these obligations pertain to this role.
Undertake other tasks, projects and responsibilities as required within the scope of the position as assigned.
Completion of a post-secondary office administration (business/accounting) certificate or diploma program plus a minimum of four (4) years office administration experience; an equivalent combination of experience and education may be considered.
Ability to work and participate in a team environment.
Ability to work independently with minimal supervision.
Excellent customer services and interpersonal skills.
High degree of accuracy in word processing (Word), spreadsheets (Excel) as well as data-entry experience.
Ability to use tact and judgment when responding to inquiries and interacting with residents, visitors, as well as all levels within the organization.
Ability to work with confidential and/or sensitive information.
Acceptable Criminal Records Check.
Experience in a local government environment is considered an asset.
