Executive Assistant to the CAO

The Executive Assistant is responsible for supporting the Chief Administrative Officer (CAO) with planning and coordinating a wide variety of senior administrative duties and projects based on meetings of Council. The Executive Assistant is required to maintain confidentiality and professionally interact with employees, management, and the public.

Key Responsibilities Include:

ESSENTIAL DUTIES & RESPONSIBILITIES

Duties may include (but are not limited to):

Assists the CAO in carrying out senior administrative tasks, special projects as assigned, and any other related requests from the Council

Manages Council Shared Calendar and CAO Calendar

Establishes a relationship with public and community stakeholders to schedule and coordinate delegations to appear before Council

Coordinates communications for proper advertisement of public notices of Meeting and Hearings and ensures MD Legislation is accessible to the public

Reviews, creates, and amends Policies and Bylaws as directed by the CAO

Ensures that all Council obligations are kept current, scheduled, and coordinated

Provides Council with all necessary training and orientation for their term

Maintains a current listing of board and committee appointments and brings forward for Council’s ratification any resignations, vacancies, and new appointments

Advertises committee vacancies and brings forward nominees for Council’s consideration

Advises nominees of the status of their application and ensures those appointed receive the appropriate commencement package

Ensures the appropriate committees/boards/departments are advised of the appointments

Provides communications team with legislative updates for website publications

Oversees the maintenance and registry of the official records for all Council meeting materials, Minutes, Bylaws, and Policies and Procedures

Requirements:

High school diploma – required

Post-secondary education in Office Administration – preferred

Certificate in Local Government – asset

Valid Alberta Class 5 Driver’s License – required

Current clean criminal record check must be provided by the successful candidate
