Summary

POSITION SUMMARY:

We are seeking a skilled and highly organized Executive Assistant to join our Legislative Services team. This key position supports the effective governance of the County by providing executive and legislative administrative support to the Reeve and Council, the Chief Administrative Officer (CAO), and the Legislative Services Coordinator.

Reporting to the Legislative Services Coordinator, the role has dual responsibilities: coordinating Council and Committee meetings, including agenda preparation, minute-taking, action tracking, and related correspondence, while also providing executive-level administrative support to the CAO’s Office.

Key Responsibilities

KEY RESPONSIBILITIES (include, but are not limited to):

  • Prepare and distribute agendas, meeting notices, and minutes for Council, Governance & Priorities Committee, and Executive Leadership Team meetings, ensuring compliance with legislation and County policies.
  • Coordinate meeting logistics, including scheduling, delegations, public hearings, audio recordings, technical support for Councillors, and public participation procedures.
  • Provide administrative support to the Reeve, Councillors, CAO, and Legislative Services Coordinator, including calendar management, meeting preparation, and follow-up correspondence.
  • Respond to public inquiries and manage correspondence related to executive and legislative matters in accordance with applicable policies and legislation.
  • Assist with corporate records management, including processing access to information requests, and maintain registers of bylaws, policies, and minutes.
  • Ensure administrative responsibilities related to plebiscites, by-elections, and general elections are carried out in a timely and accurate manner.
  • Provide administrative support to the Clerks of the Assessment Review Board and Subdivision and Development Appeal Board, including coordinating hearings and arranging training in accordance with legislation.
  • Act as Commissioner for Oaths.
  • Carry out additional tasks and functions assigned by the CAO and Legislative Services Coordinator.

Requirements

EDUCATION & EXPERIENCE REQUIREMENTS:

  • Minimum of three (3) years’ experience in an office administrative role, preferably within a municipal or public-sector environment.
  • Working knowledge of the Municipal Government Act, Local Authorities Election Act, Access to Information Act, and Protection of Privacy Act is an asset. Willingness to complete access and privacy training as required.
  • A combination of education, training, and experience may be considered.
  • Valid Alberta Class 5 Driver’s License with an acceptable driving record. A driver’s abstract must be provided.
  • Satisfactory Criminal Records Check.

COMPETENCIES (KNOWLEDGE, SKILLS, ABILITIES):

  • Proficient with Microsoft Word, Excel, Outlook, and meeting management software.
  • Excellent planning and organizational skills with a commitment to a high standard of work quality.
  • Strong communication skills, both verbal and written.
  • Efficient at managing multiple priorities in a fast-paced setting while collaborating effectively with others to achieve goals and meet deadlines.
  • Strong analytical, troubleshooting, and critical thinking skills.
  • A high degree of personal initiative and the ability to work independently and collaboratively.
  • Ability to interact professionally with, and respond to inquiries from, Council, Executive Leadership Team, other employees, and the public.

WORKING CONDITIONS AND PHYSICAL ENVIRONMENT:

  • Extensive use of computers, office equipment, and telephone.
  • Moderate lifting (no greater than 50 lbs.) and periods of sitting.

POSITION DETAILS:

  • Position Type: Full-Time, Permanent (35 hours/week).
  • Hours of Work: Monday to Friday, 8:30 a.m. – 4:30 p.m. (some evening and weekends required).
  • Salary Range: $68,210.02 – $85,262.52 per annum.
