The Administrative Receptionist is the first point of contact providing exceptional customer service for all departments of the MD including finance, community services, corporate services, land management services, operational services, and utility services. This role provides administrative support, along with the daily cash receipting and posting of payments and other revenues associated with the MD.
Key Responsibilities Include:
Duties may include (but are not limited to):
- Opening and closing duties of the administration office
- Answering and screening all in-bound calls, emails, and visitors as the first point of contact with the public
- Responding to inquiries, concerns, and action requests in a professional manner
- Assisting the public with completion of forms/applications, dog licenses, etc. by providing them with the appropriate paperwork
- Opening and closing out cash receipt batches; reconciling daily monies received
- Daily errand runs including bank deposits and checking the mail
- Performing core administrative tasks including photocopying, faxing, filing, and stocking machines
- Handling and distributing all incoming mail and prepare outgoing postal and courier mail for each department daily
- Coordinating meetings, conference calls, training, and travel arrangements for departments upon request
- Coordinating, ordering/picking up council lunches
- Coordinating and maintaining facility bookings as required through data entry in various programs
- Purchasing/ordering office and coffee room supplies
- Completing other administrative tasks as required
- This position may require occasional travel to other MD offices outside of Slave Lake to assist with administrative operations at those facilities
Requirements:
- Grade 12 Diploma – required
- Certificate/Diploma in a post-secondary office administration/finance program – asset
- Minimum 2 years administrative experience in an office environment – required
- Proficient in the use of a variety of software packages (Microsoft Word, Excel, PowerPoint, Outlook)
- Excellent communication (verbal and written) and time management skills with orientation to detail
- Ability to work in a government setting with a focus on customer service, tact, and professionalism
- Ability to work well under pressure, individual and as part of a team
- Working knowledge of legislation, regulations, policies, and procedures that impact municipal government operations – asset
- Valid Alberta Class 5 Driver’s License – required
