Reporting to the Deputy Municipal Clerk and overseen by the Manager of Legislative and Legal Services, this position provides administrative support to Council members and for FOIP requests. Key responsibilities include: receiving, logging and responding to complaints, scheduling appointments, coordination of meetings, screening correspondence and enquiries, completing research projects, assisting with travel arrangements, minute taking and preparing correspondence. In addition, the position provides support to the FOIP Coordinator and works collaboratively with the County Manager, Management and other departments regarding FOIP requests.This opportunity closes September 3rd, 2018.
Key Responsibilities Include:
Council Support
- Provide superior customer service and promote industry best practices and County values and objectives.
- Receive, review, and distribute all incoming Council mail, emails and phone calls.
- Receive, review, and distribute complaints from the public and forward to the designated persons within the organization for a response.
- Coordinate and schedule appointments, meetings, travel arrangements, and other special time commitments of Council, remaining constantly aware of priorities and responsibilities.
- Collect and assemble materials for all Inter-municipal committee meetings and other Council related meetings (workshops, organizational meetings, AAMDC, etc), prepare agendas, take accurate minutes of onsite meetings and prepare minutes for distribution.
- Function as a liaison between Council and the County Manager and administration.
- Prepare confidential letters, reports, presentations and other documents (agreements, letters to ministers, expenses, IMC notes, etc), and forward to all appropriate recipients within deadlines.
- Serve as the main contact person on behalf of all members of Council with rate payers, officials of other levels of government and the public.
- Receive, review, process and track all Council expense claims.
- Prepare monthly credit card reconciliation statements for Legislative and Legal Services Department.
- Coordinate and order meals and snacks for all Council, PPC, and IMC meetings.
- Act in a professional and responsible manner to protect the integrity of employees and the business of the County.
- Display a professional and ethical responsibility to protect privacy, use information appropriately, and maintain the confidentiality and security of all information related to employees, business and residents of Rocky View County.
- Adhere to Health and Safety Legislation and Rocky View safe work policies and procedures at all times, ensuring the protection and safety of self, co-workers, the public and environment.
- Perform other administrative duties and special projects as assigned.
FOIP Support
- Responds to requests from employees, Council and the public regarding access to information under the Freedom of Information and Protection of Privacy Act (FOIP).
- Process requests for information in accordance with current legislation.
- coordinate records searches;
- monitor and track requests;
- collect fees; and,
- oversee on-site record reviews.
- Liaise with the Provincial Office of the Information and Privacy Commissioner (OIPC) in the event of an investigation or privacy breach.
Requirements:
Completion of a Bachelor’s Degree in a related field along with a minimum three (3) years of progressively responsible and diversified office experience in information processing.
- Demonstrated knowledge of municipal government and a working knowledge of departmental rules, regulations, policies, procedures, and functions.
- Possess a working knowledge of the Freedom of Information and Protection of Privacy Act (FOIP).
- Able to maintain strict confidentiality in all aspects of the position and with any information you come in contact with.
- Able to demonstrate professional, knowledgeable and collaborative office practice.
- Demonstrated accuracy, thoroughness and attention to detail.
- Demonstrated above-average skills in written communication including the composition of minutes, letters, and reports, and in grammar, spelling and clarity.
- Show initiative and innovation.
- Strong organizational and time management skills.
- Possess sound judgement and decision making skills in accordance with broad guidelines provided.
