About the Opportunity:
Reporting to the Director of Community & Social Development, the position is responsible for providing administrative support and office coordination to the areas of the Director, Community Development and Cultural Development. This will involve diverse portfolios, therefore, being agile to provide a high level of administrative support for staff along with tact and diplomacy at all times for interactions with community members is required.
Key Responsibilities Include:
Responsibilities of the Administrative Assistant, Community and Social Development include, but are not limited to:
Assist with in office tasks for department event planning as required so there can continue to be one point of contact, if required, in the office.
Assist in the administration of the events, particularly those requiring ticket sales and preregistration.
Act as an ambassador for the events and generate enthusiasm and encourage participation among residents and visitors to the community.
Ongoing monitoring and maintenance of program statistics, reporting requirements, records retention, board reports, budget tracking, finance requests (payables and receivables), reconciliation of MasterCards and appropriate filing system to ensure tracking of deadlines.
Assist with the preparation and compilation of Tenders/Request for Proposals, grant submissions/tracking/reporting of Municipal Grants for CSD and other support functions as required.
Organize and attend meetings as required which includes but is not limited to, monitoring and management of calendar, scheduling departmental meetings, preparing meeting agendas, taking meeting notes, making other necessary arrangements, preparation, proofreading and formatting of various documents and assist in preparation of presentations.
Track and document all City of Leduc art acquisitions in the Art Inventory Database. Assist with the preparation and distribution of information/promotional pieces for the department.
Provide administrative support to the Parks, Recreation and Culture Board by coordinating meetings, taking minutes, providing Board with materials required for them to be prepared for meetings, schedule guests to attend meetings and be the conduit for information between Administration and Board members.
Assist the Volunteer Resource Administrator with the administrative requirements of the department’s involvement with Emergency Social Services.
The successful candidate will possess a college or technical school Diploma in a related field, with a minimum three years’ progressive experience in special projects and/or administrative support roles.
Experience working in a municipal government, recreation or community development area is an asset. Skill for independently prioritizing, planning, coordinating, organizing, and monitoring multiple organizational projects simultaneously and quickly adapting to changes in time frames.
Knowledge of modern methods of office administration.
Excellent proofreading skills, and it relates to grammar, spelling, punctuation, business letter and report writing.
Ability to take, transcribe minutes and summarize discussions.
Considerable knowledge of software applications, particularly MS Office Suites including Outlook Excel, Word, PowerPoint and virtual meeting platforms, specifically Zoom. Must be willing to provide a current
Criminal Records Check.

Salary Range: $52,634.40 - $65,738.40 per annum
