Reporting to the CAO and/or designate, the Administrative Assistant provides support for all departments including corporate services, finance, community services, operational services, utility services and land management services. This role requires a knowledgeable, well organized, committed team player with the ability to multitask in support of operations.
Key Responsibilities Include:
Duties may include (but are not limited to):
Provides consistent and knowledgeable customer service to all clients
Performs all core administrative duties for the MD office including answering and screening all in-bound calls, emails, and visitors as the first point of contact with the public; responding to inquiries, concerns, and action requests in a professional manner
Data entry in various programs including Microsoft Office, Outlook, Microsoft Dynamics GP, and other data systems
Assists in the set up of meetings and along with coordinating minutes for the meeting
Provides back up to the administrative receptionist as well as other admins within the department
Responds in a professional and timely manner to inquiries, complaints, or suggestions from clients, providing effective follow-up as required
Completes other administrative tasks as required
Grade 12 Diploma – required
Valid Alberta Class 5 Driver’s License – required
Minimum 2 years of relevant administrative experience in an office environment – required
Proficient in the use of a variety of software packages (Microsoft Word, Excel, PowerPoint, Outlook)
Experience in Microsoft Dynamics GP software – asset
Excellent communication (verbal and written) and time management skills with orientation to detail – required
Ability to work in a government setting with a focus on customer service, tact, and professionalism – required
Ability to work well under pressure, individual and as part of a team – required
Effective time management skills with the ability to multitask – required
Working knowledge of legislation, regulations, policies and procedures that impact municipal government operations – asset
