The Rural Municipalities of Alberta (RMA), established in 1909, represents the elected councils of Alberta’s 69 rural municipalities. The Business Services Administration Coordinator primarily supports the Trade Division of the RMA and works closely with all Trade, Insurance and Fuel Division staff. As a result of carrying out the roles and responsibilities noted below, this position will have access to highly confidential member and association information. It is expected and required that this information be held in the strictest of confidence.
The position will report to and provide administrative, planning and organizational support to the Director of Business Services and assist in meeting the objectives of the organization’s operations and marketing plans. In all cases, this position is expected to work in a team environment for dealing with issues, events and programs.
Key Responsibilities Include:
Marketing Coordination
- Engage in and keep up to date supplier offerings as posted in all Trade communications
- Work closely with Communication staff to ensure that the website is up-to-date
- Compiling and editing content for the monthly Advantage newsletter
- In contact with members on general inquiries
- In contact with suppliers on general inquiries and joint marketing activities
- Make travel arrangements for Trade Division staff
- Coordinating tradeshow attendance for all business divisions
- Coordinating printed and promotional marketing materials
- Any other tasks as required
- Compiling content, and advertising for the annual publication of the Trade Directory
RMA Fuel
- Assists in the coordination of marketing and retention activities
- Provides administrative support to the Fuel department
- Supports Fuel marketing, activity, including trade shows, and ongoing marketing material in all involved provinces.
RMA Insurance
- Assists in the coordination of marketing and retention activities
- Assists in event planning for training sessions and annual Risk Pro conference.
- Supports Insurance marketing, activity, including trade shows, and ongoing marketing material for all lines of business
Governance
- Will coordinate both joint and independent governance functions related to Trade, Fuel, Genesis Reciprocal and RMA Insurance. Including the creation of Business Services Board agendas, agenda packages, and minute taking.
- Coordinates annual reciprocal AGM
- Administrative governance duties related to the Reciprocal
Events Planning
- Coordinates Trade activities in both the Spring and Fall conventions including meeting rooms and AMSA convention involvement
- Coordinates the annual Business Services Golf Tournament
- Coordinates Trade related events including, Fall Vendor Forum and annual Sourcewell Vendor Event
Other
- Coordinates Vehicle Fleet Maintenance
- Approved Supplier Applications and inquiries
- Trade Advisory Committee Administration
Requirements:
Qualifications and Skills
- Post-secondary degree/diploma in business, marketing or a related discipline.
- Office experience (with experience in accounting functions).
- High proficiency in MS Word, MS Excel, PowerPoint, Outlook, and Adobe Acrobat is essential.
- Excellent written, oral, and listening communication skills, and exceptional organizational and planning skills.
- Personable and able to build and maintain professional relationships.
- Aptitude for dealing with members and suppliers.
- Strong time management skills.
- Able to work with minimal supervision, self-motivated, and self-directed.
- Manages multiple priorities in a fast-paced and changing environment while able to quickly analyze problems to reach a conclusion.
- Expects the highest quality performance from self and others.
- Able to and enjoy working in a team environment including keeping others appropriately informed.
Compensation
- Commensurate on experience, post-secondary education (degree/diploma), and determined according to the current RMA salary grid.
- Includes a comprehensive benefits package, after applicable waiting periods.
This is an eighteen (18) month contract position with an option to renew.
